Meeting Rooms

At the discretion of the Library Director and/or the Library Board of Trustees, the Middletown Public Library Meeting Room is available to community groups for meetings of an educational, cultural and civic nature. All meetings are to be free and open to the public.

Use of the Meeting Room is restricted to regular Library hours and days and at the convenience of the Library. Groups may not use the meeting space before 9:15 am and must conclude their activities 15 minutes before the Library closes unless prior approval is obtained.

The rules below constitute the policies for the use of the Meeting Room.

  1. A completed application for the use of the room must be filed with the Director no less than 7 days prior to the planned use of the Meeting Room. Download an Application for use of meeting room.
  2. Reservations can be made no more than 3 months in advance of the requested date.
  3. Non-library related groups may reserve the Meeting Room no more than two days per month.
  4. Non-library related groups may not have fewer than 5 people in order to reserve the room.
  5. Any damage to Library property must be paid for by the group responsible.
  6. The library's telephone may not be used for non-library related purposes. No messages will be handled by library staff, nor will outgoing calls be made using the Library's phones.
  7. Refreshments served will be limited to a light collation. No alcohol will be served.
  8. The Meeting Room will be left in a neat and clean condition. Users will be levied a cleaning fee if the Meeting Room is not left as found.
  9. Groups composed of minors under 18 years of age must provide adequate adult supervision.
  10. Any organizations using the library shall not interfere with patrons' use of the library, such as noise, overcrowding of library and/or parking lot, etc.
  11. Permisssion for use of the Meeting Room does NOT constitute endorsement of a group's philosophy or objectives by the Middletown Public Library.
  12. Taping of materials to the walls and doors is prohibitied.
  13. Donations from gouprs using the Meeting Room are encouraged and greatly appreciated. The Library Board of Trustees reserves the right to impose a fee for the use of the room in the future.
  14. Room capacity is 113 people.
  15. No smoking is permitted in the Library.
  16. The Library reserves the right to alter meeting arrangements if necessary. The organization will be notified as soon as possible.
  17. A Library sponsored program has priority over other uses of the meeting room. In the event of a scheduling conflict, if possible, groups will be given one month's notice.
  18. Organizations are responsible for notifying the Library of cancellations.
